Payroll & International mobility specialist

We are looking for a Payroll & International mobility specialist to join the Human Resources team in our Madrid office.

Role:

  • Management and supervision of the entire payroll process with external consultancy in Spain.
  • Management of all employment documentation for new hires and departures from the company and other documentation that may arise throughout the working life of each employee.
  • Providing support to the person in charge in the management of Occupational Risk Prevention together with the External Prevention Service: documentation, initial training, annual medical check-ups and coordination of business activities
  • Management of flexible remuneration and social benefits (restaurant, childcare and transport vouchers, and medical insurance).
  • Absence management (holidays, leave, etc.) and time recording
  • The tasks related to international mobility are:
    • Management of expatriates (from visa, agreements, to payroll, to reincorporation), both with the individual and with international consultancies.
    • Monitoring and updating the mobility policy in force at the firm
    • Monitoring the international mobility budget

Requirements:

  • Qualification in Labour Relations and Human Resources, Law and Labour Sciences, Labour Sciences, or similar.
  • Experience in payroll processing with A3NOM or A3Innuva
  • Experience with SuccessFactors would be an asset.
  • Postgraduate studies in international worker mobility would be an asset.

A critical objective will therefore be to ensure that any mobile user has access to the necessary tools on any device and that their use is homogeneous, as well as to maximise the productivity of the different profiles in the office both individually and in their team and collaborativework, with a smooth and guided transition from the current environments to the objectives.

 

We are looking for someone with a technical profile and project management skills and who is employee-oriented and a hands-on manager to carry out the necessary tests and pilots to meet the firm’s digital workplace requirements. This position will not be staffed by Pérez-Llorca personnel and will be largely an autonomous activity with occasional support from external suppliers depending on the type of project to be carried out.

Requirements

Minimum requirements:

  • Three years in a similar role.
  • ITIL training, and practical experience in release, change and problem processes
  • Solid experience in defining the Workplace in organisations with multidisciplinary users (around 1,000 employees).
  • A high level of English
  • Office 365 advanced level, with one of the following Microsoft 365 Certified certifications: Administrator Expert, Microsoft 365 Certified: Endpoint Administrator Associate, Microsoft 365 Certified: Security Administrator Associate, Microsoft Certified: Information Protection and Compliance Administrator Associate.
  • Advanced project management and planning capabilities.
  • Experience in change management and training techniques.
  • Excellent communication and presentation skills, with the ability to effectively communicate workplace concepts and how to use them to improve productivity to technical and non-technical stakeholders.
  • Empathy.

Other requirements:

  • Holding Project Management Certification (PMP, Six Sigma) would be preferred.

Functions

  • Managing the strategy, definition and design of the workplace environment (PC, smartphone, base software, virtual desktops, printing systems, personal telephones (IP, mobile), collaborative systems (hardware and software), network folders and meeting room equipment, as well as the relationship with the physical elements of the office) at a technical level, participating in the projects and optimising them. The solutions designed should be simple, reliable and with the appropriate quality-cost-benefit ratio.
  • Designing the digital workplace, selecting the technologies, piloting and configuring them, ensuring the implementation of the workplace standard in terms of access, layout, deployments, environment updates and monitoring. To do so, the successful candidate will rely on the executive activity of the Service Desk, which will have to follow their standards and guidelines.
  • Creating/maintaining memories, service sheets, approvals, technical guides and procedures, so that they are accessible, available and reliable.
  • Maintaining, when designing new solutions, coherence and alignment with workplace principles and targets.
  • Promoting continuous improvement of services and components.
  • Carrying out and promoting R&D to incorporate new solutions that can accompany business needs.
  • Identifying practical solutions to business needs and problems in the digital workplace, improving time-to-market.
  • Designing scalable architectures leveraging cloud services or other mechanisms.
  • Contacting suppliers and key users within the digital workplace.
  • Promoting employee self-service tools within the IT service portfolio in order to improve employee satisfaction and improve time-to-market.
  • Surveying the current situation, designing and executing the integration strategy for the firm’s future M&A actions, as well as for new offices, providing the firm with standards, guidelines and procedures to industrialise it as much as possible.
  • Defining adoption and training programmes and coordinating change management.
  • Anticipating, understanding, managing and negotiating internal customer needs, expectations and issues.

  • Third level of escalation, or escalation management with suppliers, in Workplace incidents.

Responsibilities:

  • Together with the CIO, formulating the cybersecurity strategy, basic principles (e.g. zero trust) and information security policy.
  • Conducting a comprehensive assessment of the security and compliance of the firm’s IT systems, promoting internal controls, audits and reporting.
  • Assessing and managing the security of suppliers and third parties, always ensuring the security of information in the supply chain. Collaborating with cross-functional teams to ensure the secure design, development, implementation and maintenance of systems and applications.
  • Establishing incident response plans, responding to security incidents, investigating breaches and coordinating recovery, including coordinating with the SOC.
  • Designing, prioritising, implementing and monitoring security services for operational and/or non-operational purposes (e.g. SOC, I&AM) in accordance with the firm’s appetite for risk.
  • Supporting legal, HR, or other internal or external areas in investigations of information systems, e.g. searches related to fraud or other misconduct.
  • Communicating and promoting cybersecurity training and awareness in information systems.
  • Participating in the design of IT services to ensure that solutions are secure.
  • Coordinating the monitoring of information systems in all aspects of cybersecurity, e.g. analysing network traffic and searching for anomalies.
  • Actively participating in the firm’s AI committee.
  • Coordinating the firm’s ISO27001 certification, and any cybersecurity related audits.
  • Coordinating responses to our clients’ requests for information on our security levels.
  • Coordinating the implementation of disaster recovery plans based on the firm’s BIA.
  • Leading the coordination and consolidation of IT risk analysis and management.
  • Advising the firm on data protection (GDPR and related policies) in all countries.

Minimum requirements:

  • Degree in Information Technology or a related field
  • Fluent English
  • Three years of experience in a similar role
  • Relevant certifications: CISSP, CISM, CEH or ISO 27001 Lead Auditor
  • High knowledge of cybersecurity frameworks: MITRE, CRISC, CISM, MCRA, NIST, among others
  • Strong generalist IT background including IT infrastructure, architecture, network protocols, e.g. firewalls, antivirus, identity and access management tools, directories (LDAP, Active Directory, DNS), databases, networks, port and vulnerability scanners, GRC tools, public key infrastructure, cryptography, intrusion detection/prevention systems, security information and event management (SIEM) solutions, etc.
  • Excellent knowledge of outsourced service management as well as writing RFPs.
  • Knowledge of best practices in (web) application programming security (OWASP).
  • Experience in service delivery in a service management environment under the ITIL framework.
  • Experience in the design, documentation and implementation of cyber security processes/procedures.
  • Excellent communication and presentation skills, with the ability to effectively communicate complex security concepts to technical and non-technical stakeholders.

Requirements

 

  • Native level of Portuguese
  • High level of English and valuable knowledge of Spanish
  • Excellent command of Microsoft Office.

Functions

 

  • Reception: answering phone calls, attending to visits, management of meeting rooms.
  • Administrative work: photocopying, scanning, binding, Excel files, PPT presentations, Word documents…
  • Agenda management: purchasing tickets, booking hotels, resolving possible problems.
