• Gestão da agenda: Compra de passagens, reservas de hotel, resolução de incidentes eventuais.
• Faturação: Gestão de ordens de compra, acompanhamento de facturas, gestão com o departamento de contabilidade, introdução das horas dos advogados no sistema.

Organise and coordinate office administration and procedures while providing executive assistance to our Singapore resident partner and the team of lawyers assigned. Duties will include greeting visitors, answering phone calls, purchasing office supplies and being a contact person for maintenance, mailing, shipping, supplies, equipment, bills and other similar/related tasks.

Main responsibilities will include:

• Organising and scheduling meetings and making travel arrangements
• Assisting with billing
• Organising office operations and procedures
• Managing relationships with vendors and service providers, ensuring that all items are invoiced and paid on time
• Monitoring and maintaining office supplies inventory
• Managing the relationship with the building management of the office
• Providing general support to visitors

Profile:

• At least three years’ proven experience in a similar role
• Fluent in Spanish and English

• Two to three years of proven experience in corporate and regulatory transactions at a top firm.
